This is a very long winded email I sent to the service department about something that happened this weekend. Is this too much complaining? What would you have done? Some of the names have been removed to protect the "innocent".

Good morning M**k. My name is Christopher M******g. Saturday, June 21, 2014 I had a scheduled 9:20 am appointment in your service department. This would be for my 5000 mile / 6 month service for my 2014 Tacoma (vin # ***********). My Service Valet was Mr. W******m Davis. My R/O Number was 6******9/1. Mr. Davis informed me after the service was complete that my vehicle’s oil change was completed using conventional oil. I informed Mr. Davis that your Business Manager, Mr. R*****t Gramm, informed me upon purchase that my new truck used synthetic oil. Mr. Gramm repeated this fact because it pertains to the number of oil changes involved with ToyotaCare Plus. Mr. Davis told me that his paperwork is directly from Toyota and it says conventional oil. I asked Mr. Davis to verify the correct oil to be used. After checking with management Mr. Davis apologized and had my truck’s oil drained and replaced with synthetic oil. I hope your department uses this incident to update their information so other vehicles are filled with the correct oil. Upon completion of my service Mr. Davis informed me that due to the time it takes to do (or rather redo) the paperwork, the invoice he is providing me is incorrect. This invoice shows conventional oil was used in my vehicle. I ordered some items from the parts department that will take 7 to 10 days for delivery. I asked Mr. Davis if he could provide me with an updated and correct invoice when I come back for the items I ordered. He assured me that will happen. I received a checklist showing what was done to my truck. One of the first items on this checklist is “Filled Washer Fluid” this item was checked as completed. The washer fluid reservoir was not filled. This concerns me because I am wondering what else was checked as completed and not done. In hindsight I should have brought my concerns to Mr. Davis’ attention directly.

Mr. Davis was very friendly and apologetic about the confusion regarding the oil. However, the incorrect oil, incorrect documentation and the checklist showing items as completed when in fact they were not completed has left me with concerns about your service department. Please feel free to contact me if needed, preferably by my cell number listed below. I will be picking up the items I ordered within a week or so, I hope Mr. Davis will have the proper documentation for this service in place and ready. It is my intention to maintain thorough and accurate service records for this vehicle. In addition Toyota should be notified about the conventional / synthetic oil discrepancy.

I was hoping to have a better first experience with your service department. This is only one minor incident, but I hope it will be corrected as I hope to have a long relationship with E**l S******t Toyota. I was pleased with the purchase and the quality of my new truck. As you are aware, in order to be eligible for the Tires for Life Program I am required to have all factory recommended service done at your department. At this point I have no reservations continuing to have my truck serviced at your department, or to have Mr. Davis as a Service Valet. Thank you in advance for your attention in this matter.

This dealer tried selling me a 14 and got pissy with me went on there website i found the truck 600$ cheaper when they advertise "no haggle pricing". Need less to say I asked for more off the truck and they laughed so I ended up buying somewhere else :)

I know that, you know that, everybody who has read the T-TT-0005-10 document knows that. But that is not what the dude who sold me the truck said. And after the service guy talked to management they all agreed on synthetic. Right or wrong my truck now has synthetic.

Point being these guys have no idea what came in the truck or what it should be replaced with.

I'd say that it's a bit too much complaining. Get over it and start doing your own services. I didn't take mine in once for the "free" maintenance. Not worth the hassle. When I took it in the HVAC motor, they tried real hard to get me to change the oil. after the fourth or fifth NO, they finally got the message.

Yeah BillJC you're right. I always have done all my own service. Maybe I should stop counting on the dealer and take care of my own business. Although I probably wait until the warranty is up that way I have something to complain about. The email was sent in the hope of scoring some free stuff.

Side note: My niece lives in Novato. Seems like a cool place

Like you said it's a minor incident, but still a hassle! Its to like your truck is the first one they've seen! It seems like someone there doesn't have good attention to detail. I would bring it up to someone higher in the chain, but not necessarily complain. Just bring it to there attention!

did they fix it? sounds like it? and the service people are supposed to know the promises the salesmen make? you probably should have mentioned it when you got there that that was what your deal was...?

some times any complaining is too much complaining...

To answer your question yes. It is also incorrect complaining. The V6 does not call for synthetic. If you are wanting to do right I would say that you owe Mr. Davis an apology and a follow-up letter to the dealer explaining your error.
That being said it does seem like they do not have all their ducks in a row if they would change their minds on the oil and put the wrong oil in after they had done it correct in the first place. As for the washier fluid that should be addressed, but nothing else. You might want to find another place for your service.

Hey Beavis0076, my whole point was to get them to agree on what was in and/or what should go in the truck. I wasn't trying to scam or take advantage of anyone for free synthetic. I was just trying to get the correct oil per the dealerships original instructions. If I get a free sticker or hat, that would be fantastic. I'm not looking for a free new car! Jeez! Karma? Really? Get over yourself and your judgmental self-righteous BS.

...and sometimes complaining gets you what you want. The squeaky wheel gets greased.

We complained to Lexus' main office when our 07 RX350 needed a new power steering pump and headlight (foggy and letting water in). That was going to be a $2200 bill on a 48k mile car. Yes, it was out of warranty but we felt those items should last a hell of a log longer - plus the price was just redonkulous.

In the end we paid $100 for both repairs - Lexus covered the rest.

I agree that the email was a bit much. Everybody is getting wrapped around whether the oil is right or wrong. I didn't and don't care whether it is conventional or synthetic. The main point of the email was to point out that they are not doing stuff that they said they would do. Wiper fluid is just a sign that they didn't do what they said.
Mr. Davis was correct, I asked him to verify the proper oil for my truck. He should take the time to give my the proper documentation for what was done to my truck. That is my issue with him, he's too busy or too lazy to redo paperwork.

Proper documentation? Do you REALLY think the documentation matters that you got synthetic instead of conventional for your first oil change? Come on now, you're just being a PITA. Also, NEVER believe what the salesman tells you.

You know these guys probably drained and filled with Toyota oil again or probably did not even drain and fill it. Just webnt to bathroom and say they did it.
Bottom line is if you want to know what goes to your truck and how, is you need to do it yourself.
Also You spent more time writing that letter than its to change oil on Tacoma...

Print this and take it with you. Maybe it will help

Your letter didn't bother me. I went through sort of the same problem on my first oil change and got it straightened out. The link above will help, just stick it in your glove box and show the service rep next time you have your truck serviced.

This is what everyone is getting wrapped up about. That just doesn't set well with most of us. Stuff like this is why prices increase and the rest of us have to pay it. Enjoy your free stuff.
