Speadsheet AND receipts. I just had a $6000 repair bill covered by the extended warranty I paid for at vehicle purchase. They spent a week trying to get out of paying for the repair until I was able to provide receipts for each and every oil change (in this case I didn't have original receipts, but since I buy all of it at Autozone and am a rewards member, Autozone was able to email me an itemized receipt list).

I've been using these for thirty years. Get a new one every time I get another vehicle. EVERYTHING gets recorded including every fuel purchase.

I have that book I staple any receipts in there. it gets tricky when I do things like by 2 or 3 5qt jugs of oil at walmart or get 3 oil filters at a time from a dealership, I just put them in there and record the services. I put them in on the Toyota app and also on Carfax. CarFax has a place to upload receipts but I'm not sure who all those are visible to. One thing I do know carfax does is when I sold my old Jeep and removed it from my carfax account I got a warning that all self entered information would be deleted from the vehicle's service history. Just be aware of that. I don't understand why they do that, I suppose its to remove info like personal addresses from uploaded receipts but they could remove those and just leave the date/milage/service done data for the next owner.
