    I live more than 100 miles from my nearest dealer and really won't use Toyota Care for oil changes. I was wondering how folks document their DiY maintenance in case any warranty work needs to be done. I keep an Excel spreadsheet that details mileage and any work I've done. I had a 2016 OR which I've traded in for a 2023 OR. I use Mobil 1 0W-20 oil and purchase the filters from Amazon. What documentation do I need to maintain to fulfill the warranty requirement?

    I was told to keep recipes. This may eliminate bulk purchases. Ask the dealer service writer.

    I'd recommend contacting Toyota and asking this question. I can't even pretend to know the technical answer, but I would bet receipts from an established business for service/maintenance would suffice, and owner/self work probably wouldn't hold very much weight in court, which I'd assume legal pursuit would be the unfortunate avenue when a dealer denies warranty work for lack of Toyota service records. I could be entirely wrong about this; again, I'm not even gonna pretend to know the answer, so I'd recommend asking the people that actually matter (Toyota). Besides that, I personally use the Toyota app to track my own maintenance records for work I do myself, so all dealer/owner records are compiled in one place. I can't say it'd be credible enough for them, but I like it for me.

    If things go bad, Toyota will know whether the vehicle was maintained properly or not. Does not matter who did it.
    For example, you take it in under warranty for overheating and they find you used grape Kool aid instead of anti freeze.
    Engines are easy. Change the oil, use the correct filter and you are covered.
    However, your engine won't turn over and they find silt in your intake from that coffee filter you ran for a few thousand miles.
    Do it right

    The Toyota owner's website allows owners to input maintenance activity performed by 3rd parties or DIY. I enter the details there...

    Dates, mileage, etc. It has check boxes for standard items (e.g. Oil change, Tire rotation, etc.) and text fields so you can write in any details or additional work.

    I also keep a spreadsheet tracking these maintenance items and any mods.

    I found a Toyota multi-point inspection sheet online in pdf form. I fill it out during each service just like Toyota would, and then staple the receipts.
    When I had Honda's I did the same thing.

    I do the same, it's document in there system the date and mileage and whatever service you input. I keep receipts also just in case but if it's in their system, they can't say they don't have records.

    Diy maintenance in the summer, save reciepts and reset maintenance reminder. Winters I take my trucks to valvoline. Service their hits the carfax plus they do it right in front of you. Find them to be diligent.

    I write mine down in the owners manual. there are blank pages near the back. some manuals have pages just for maintenance. I put the date, mileage, what was done, and who did it, (usually me). but, when I have warranty, or alignment work done elsewhere, that goes in too. Ski

    After my warranty expired, it threw them all away.
    Some say that’s a bad thing, if I sell the truck I won’t have “proof”.
    I say, you can buy the truck, or not. The choice is yours.
